Meeting Scanner

The Meeting Scanner is a utility to allow Associations to quickly check in members to a meeting or seminar, to track attendance and to be able to initiate appropriate conversations with new members, those with missing information or who are due for renewal.

As well as the events run by your Association you will be able to scan people in to a Training Event - it's ok to use real cards. It's a good idea to do some tests with each new phone that you want to use at a meeting. Older or low-spec phones may have trouble scanning as quickly or effectively as needed.

Android Phones

  1. Android phones have the greatest range of specifications and some won't be up to the job. We'd be very interested to hear which phones perform well, and which don't.
  2. Android phones will require a secondary app to be installed - get that done and tested prior to turning up to a meeting.

Android's "Barcode Scanner" Settings

We don't control this app and it's "THE app" that gets used by all the other android apps that provide scanning.

If scanning isn't quick enough consider some of these settings changes

  • In the section titled "When scanning for barcodes, decode..." the only option we need is "1D Industrial", that will also turn on "Data Matrix"
  • In the section "When a barcode is found..." we only seem to need "Copy to clipboard" to be checked
  • In the section "General Settings" I have checked "Use auto focus"
  • In the section "Device Bug Workarounds" there are a few options and what you need checked or unchecked will differ from phone to phone - play around and see if any of them make a difference.

Getting Started

When you first load up the app you'll have a menu with two options (definitely for Apple, some Android users will skip this step)

  1. Membership Card
  2. Test Meeting

You need to set up your membership card with your email address that you use to log in to PIMMS or the website. 

Once your membership card is setup your phone is registered in PIMMS and links you to an Association. We can now show you the upcoming events for your Association.

You need to return to the Event List, press Refresh to get the actual list. Select the event you are scanning for and you're off running.

Testing

There will always be a test event shown in the Scanner - use it to test barcodes on member cards etc.
